Role Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the Managing Director. The ideal candidate will be a graduate in Mass Communication & Journalism or a related discipline, possess advanced expertise in MS Excel and MS Office, have working exposure to AI and digital tools, and demonstrate excellent verbal and written English communication skills.
This role requires discretion, maturity, initiative, and the ability to manage complex schedules, coordinate across teams, and handle sensitive information with absolute confidentiality.
Key Responsibilities
1. Calendar & Schedule Management
Manage the Managing Director’s calendar, meetings, and daily schedules
Prioritize urgent matters and proactively resolve scheduling conflicts
Coordinate internal and external meetings, travel plans, and official events
2. Communication & Correspondence
Draft, edit, and format professional emails, reports, presentations, and briefing notes
Act as a liaison between the MD and internal/external stakeholders
Screen calls and emails to ensure timely and appropriate responses
3. Administrative & Meeting Support
Prepare agendas, presentations, and meeting materials
Record accurate minutes of meetings and track follow-up actions
Coordinate meeting logistics including venues, video conferencing, and arrangements
4. Travel & Logistics Management
Arrange domestic and international travel including tickets, itineraries, visas, and accommodations
Manage travel documentation, expense reporting, and reimbursements
Ensure compliance with company travel policies and safety guidelines
5. Operations, Coordination & Follow-ups
Track action items and follow up with teams to ensure timely execution
Support cross-functional coordination and operational efficiency
Suggest and implement process improvements to optimize workflows
6. AI & Technology Utilization
Use AI-enabled tools for scheduling, drafting, reporting, and workflow automation
Stay updated on productivity tools and recommend technology enhancements
7. Reporting & Analytics
Compile, analyze, and present operational reports, dashboards, and status updates
Assist the MD with data-driven insights and presentations
8. Stakeholder Liaison
Build and maintain strong working relationships with senior leadership, partners, and clients
Support preparation of communication and coordination materials as required
9. Confidentiality & Compliance
Handle confidential and sensitive information with utmost discretion
Ensure adherence to internal policies and professional standards
Qualifications & Requirements
Education
Bachelor’s degree in Mass Communication & Journalism or a related field
Experience
3–6 years of experience as an Executive Assistant or in a similar senior support role
Technical Skills
Advanced proficiency in MS Excel (formulas, pivot tables, dashboards) and MS Office Suite
Familiarity with AI tools, automation platforms, and digital collaboration tools
Strong digital literacy including video conferencing tools and cloud platforms
Communication Skills
Excellent verbal and written English communication skills

Strong multitasking and prioritization abilities
High level of integrity, discretion, and professionalism
Excellent interpersonal and stakeholder management skills
Travel & Flexibility
Willingness to travel as required, including international travel
Flexible to support extended or after-hours work when needed

Age preference: 30–35 years
Experience in fast-paced corporate or agency environments preferred

6 days per week
Monday to Friday: Work From Office
Saturday: Work From Home
Occasional extended hours based on business requirements
